Executive Administrator

 

PNRI is looking for an Executive Administrator to provide high-level, complex, and confidential administrative support to the Executive Officers, Principal Investigators and Board of Trustees. In this highly visible position, the Executive Administrator will leverage their communication expertise and interpersonal skills to provide information, support, and service to a wide range of internal and external stakeholders.

The successful candidate will have a minimum of five years of successful experience providing complex administrative support to executive leadership as well as a Board of Directors/Trustees. This position requires strong writing, communication, analytical and problem-solving skills. The successful candidate will have a verifiable track record maintaining confidentiality of sensitive data, is well-organized, and a team player with a high level of work integrity and ethical standards.

What you will do:

  • Provides administrative support to executive officers, board members, and senior scientists.
  • Prepares and discreetly manages communications by answering phone calls, manages hardcopy mail, prioritizes emails, and communicates and responds to messages.
  • Provides wide range of clerical support, such as but not limited to managing calendars, scheduling in-person and virtual meetings (Outlook, Zoom, and Teams), preparing meeting agendas and taking minutes, composing, and editing letters, reports, and presentations.
  • Orchestrates executive, board, and senior scientific staff priorities, such as internal and external meeting and event logistics, schedules guest speakers and invites attendees, and interfaces with internal Communications team and external printing services.
  • Orders supplies and food and beverages, makes restaurant and travel arrangements, submits purchase orders and invoices, and reconciles credit card expenditures.
  • Acts as liaison and archivist for executives, scientists, and legal services in obtaining permissions, executing agreements and contracts, and registering patents and copyrights.
  • Designs and coordinates administrative procedures and systems and devises ways to streamline processes in support of leadership.
  • Manages confidential files and directories related to executive and board business, intellectual property, and submits research proposals for conferences and manuscripts for publication.
  • Proficiently uses multiple technical applications, including word processing, database management, spreadsheets, graphics and presentation software, and conduct internet research and summarize findings.
  • Performs other duties as assigned.

Education and Experience

  • High school diploma or equivalent; Bachelor’s degree, a plus.
  • Minimum of five (5) years of verifiable success providing complex administrative support to executive leadership; previous experience with a research institute or non-profit organization desired.
  • CAP, CPS, CEA, PACE, or CLSS certification, a plus.

Skills and Abilities

  • Demonstrable written and verbal communication skills to effectively and professionally communicate and collaborate with a wide range of stakeholders, including scientists, Board of Trustees members, and executive leadership.
  • Proven ability to thrive in a team environment and work collaboratively.
  • Proven analytical and problem-solving abilities.
  • Demonstrable success managing multiple priorities and processes simultaneously.
  • Verified time, project, & organizational management skills and the ability to meet deadlines.
  • Documented intermediate+ proficiency in Microsoft Office, SharePoint, Canva, office machines (i.e., copiers and postage machines) and meeting scheduling tools (i.e., Outlook, Zoom, Teams, Bookings, and/or Calendly); CRM, a plus.
  • Established and verified track record of a high level of attention to detail and a high degree of accuracy and timely follow-through.
  • Demonstrated knowledge and expertise of non-profit financial management.
  • Confirmable self-starter with successful independent and efficient work performance.

The annual base salary for this position is from $70,000 to $85,000 and the wage offered will be based on experience and qualifications.
