Position Summary/Purpose of Position:

Under minimal supervision, the Coordinator serves as the initial point of contact for the assigned mission area while providing day-to-day administrative support.

This position prioritizes competing demands while completing a broad range of assignments based on the needs of the mission, including but not limited to travel, calendar management, filing and record keeping, purchasing and procurement, facilities management, equipment and inventory control, recruitment and search processes, financial management, data, and background information research, and compiling reports.

The Coordinator handles mail, phone coverage, and inquiries, schedules and organizes meetings and special events, greets high-level visitors, and completes other duties as needed or assigned. These responsibilities must be completed in accordance with University, State, Federal, and other applicable rules and regulations.

Minimum Qualifications:

Education:
A Bachelor’s Degree from an accredited college/university.

Experience:

Four (4) years experience in administrative staff work.

Knowledge, Skills, and Abilities:
  • Customer service-focused.
  • Working knowledge of reference and research methods and techniques used in collecting, compiling, and organizing data and information, working knowledge of analytical and statistical principles and techniques.
  • Skilled in the use of office automation software and its applications, including MS Office (Outlook, Word, Excel, and PowerPoint), and office equipment, such as copy and fax machines, printers, and scanners.
  • Ability to establish and maintain effective working relationships, to handle sensitive materials with discretion and tact.
  • Strong communication skills with the ability to present ideas and information clearly and concisely, both orally and in writing.
  • Ability to perform mathematical computations and to present statistical material in chart and graph form.
  • Strong organizational skills with the ability to independently handle multiple tasks and set priorities.
  • Outstanding oral, written, and interpersonal skills
  • Proven ability to analyze and adapt to ambiguous situations, develop plans, and ensure successful and efficient implementation
  • Ability to work independently on complex projects and demonstrate competency, diplomacy, and a positive attitude in all interactions. 
  • Proven ability to adapt to a growing and changing staff and office environment and to analyze, create, and optimize processes and procedures when necessary. 
  • Willingness and ability to protect confidential information. 
  • High proficiency with MS Outlook, Excel, Word, PowerPoint Project, and Access or equivalent required. 
  • Ability to work on deadlines with attention to detail. Willingness to collaborate with others on time-sensitive projects, to communicate effectively with internal and external customers.

Must be able to obtain a TS/SCI security clearance. If selected, you must meet the requirements for access to classified information and will be subject to a government security clearance investigation that includes criminal and credit history checks, as well as verification of U.S. citizenship, birth, education, employment, and military history.

Preferences:

Preferences:
  • Higher Education, federal government, and/or federal contractor experience.
  • Ability to type at a minimum speed of 40 words per minute.
  • Experience preferred in a university/academic setting working in a fast-paced and constantly changing environment.
  • Track attendance of safety/diversity training and provide support to the Mission Area Leads and Principal Investigators on personnel, supply & space administration, phone coverage, etc.
  • Possess an Active TS/SCI clearance.

Additional Information:

Salary range $62,202-$72,253.

Physical Demands

  • Must be able to be in the office 5 days a week.
  • Sedentary work performed in a normal office environment; exerts up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body.
  • Ability to attend meetings both on and off campus. Spending long hours in front of a computer screen.
