Program Coordinator

Job Description

We are seeking a Program Coordinator who will coordinate the educational program activities and related administrative support services for the Johns Hopkins Critical Care Physical Medicine and Rehabilitation program and the Outcomes After Critical Illness and Surgery group. The Program Coordinator has administrative responsibility for program elements requiring collaboration across departments within the School of Medicine (SOM) and with the SOM Office of Continuing Education (CME) and Johns Hopkins Office for Online Education, as well as outside entities.


Specific Duties & Responsibilities

  • Coordinate and assist with all aspects of educational events and programming (both in-person and virtual/online formats), including CME Conferences, via assisting with curricula, speakers, presentations/slides, handouts and Continuing Education/CME applications.
  • Respond to inquiries about educational events from potential participants and faculty/speakers.
  • Monitors and manages the Conference’s email account, including prompt responses as needed.
  • Responsible for review and reporting of registration information for educational events.
  • Organize and coordinate regular educational planning meetings, and completing related action items/tasks.
  • Update and maintain both internal and external educational websites (via WordPress and SiteCore content management systems).
  • Preparing brochure and promotional/informational material and related graphics (via Canva graphics tool)
  • Helping prepare documents for submission for Continuing Education (CE) credit.
  • Interacting with Conference exhibitors and coordination of written exhibitor agreements.
  • Coordinator of other written agreement (e.g. hotel contracts) related to educational events
  • Writing, editing, revising/updating registrant/participant information and instructions for educational events.
  • Preparing and responding to e-mail correspondence with Planning Committee members, speakers/faculty, registrants, exhibitors and others.
  • Assist with promotion/advertising, including related preparing text and graphics, as well as posting on Social Media (e.g., Twitter, Facebook, Instagram. LinkedIn).
  • Video recording (e.g., via Zoom) and video editing (e.g., via OpenShot software)
  • Financial processing, reporting and budgeting for educational programs/events and speaker honoraria (i.e., via Excel)
  • Knowledgeable of all departmental policies and procedures.
  • Other responsibilities as necessary to back up all related functions.
  • Prepares weekly report of work hours and activities for review by the supervisor.
  • Demonstrates and serves as a role model for a positive work environment, including high motivation, positive attitude, and good judgment, tact, and sensitivity in all interpersonal interactions with all staff, investigators, students, and participants.

Skills and Abilities

  • Strong communication skills, verbal and written.
    • Excellent interpersonal skills, responsiveness, and adaptability to changing program needs and priorities.
    • Strong communication skills, both verbally and in writing; ability to work independently to create professional documents and correspondence with internal and external stakeholders.
  • Detail-oriented and well-organized.
  • Ability to systematically organize and retrieve educational and administrative documents/materials.
  • Proficiency with Microsoft Office suite including Outlook, Word, Excel and PowerPoint.
  • Willingness and aptitude for training for other resources, including social media, video editing (e.g., OpenShot), Zoom Webinar, WordPress and SiteCore website software.
  • Ability to work comfortably and collaboratively with faculty/speakers, students/registrants, and other administrative/CME/academic/exhibitor personnel.


Minimum Qualifications
  • High School Diploma or graduation equivalent.
  • Five years progressively responsible related experience.
  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.

Role/Level/Range: ATO 37.5/03/OF  
Starting Salary Range: $21.25 - $36.90 HRLY ($43,680 targeted; Commensurate with experience) 
Employee group: Full Time 
Schedule: Monday - Friday 8:30am-5pm 
Exempt Status: Non-Exempt
