The Why: We strengthen the ties alumni, parents and friends have to the University by supporting lifelong learning and providing career and professional development services. The Professional and Alumni Education Programs Coordinator supports, plans, organizes, and implements programs, services, series, and communities that help alumni and friends connect to the Notre Dame family.
The How: This position provides analytical, technical, project management, and administrative support. It requires strong project management and interpersonal skills, with a proven proficiency working with technology and software tools to deliver various programming (e.g., videoconferencing, streaming, recording, editing, project management, Google suite, Google Analytics, YouTube, social media, podcast platforms, and email marketing). It also involves working in the backend of large digital platforms (ThinkND and IrishCompass).

The What:
1. Digital platform support with site and content maintenance
- Provide support to ThinkND and IrishCompass digital platforms by innovating on or establishing new efficient processes
- Update, maintain, troubleshoot, and resolve platform issues
- Work with e-newsletters, broadcast email messages, and other content (received or developed by the NDAA)
- Post and update content
- Provide user support (e.g., posting, subscriptions, analytics)
- Work with technical partners to maintain site and implement improvements
- Stay current on new system features/functions as well as technology tools and software
- This position streams, records, edits and produces programs
2. Program coordination and support: Provide administrative, logistical, analytical, and technical support for alumni education and professional programs
- This includes ThinkND and IrishCompass platforms/communities, the Hesburgh Lecture Series, Reunion, various club/regional programs, and any new programs that are implemented
- Understand, assist, and respond to alumni, parents, friends, campus partners, club and other volunteer leaders, and board members’ requests, questions, and messages
- Prepare professional communications from data collection to polished written materials (e.g., slide decks, reports, summaries, working documents)
- Engage volunteer leaders to plan, prepare, coordinate, and deliver programs
- Represent the Alumni Association at programs/events sponsored by the department.
3. Market research and metrics: Conduct market research and benchmarking
- Provide data collection, maintenance, analysis, and reporting data
- Prepare and maintain metrics and dashboards
- Develop and implement various surveys, reports, etc..
4. Budgets & Financial Stewardship: Coordinate financial resources and expenses related to professional and alumni education programs
- Coordinate financial resources and processes expenses in a timely and accurate manner
- Work in various University systems, budget worksheets and budget meetings
- Research, recommend and implement cost efficient, quality solutions
- Receive, review, process, and flag (as needed) revenue and expense postings for continuing education and professional programs

Minimum Qualifications
- High school diploma
- 1 – 2+ years professional experience
- Strong project management, organizational, and data management skills
- Ability to prioritize and re-prioritize to meet deadlines with quality work
- Strong interpersonal and written communication skills to engage with diverse volunteer leaders, alumni, friends, and others in support of programs and initiatives
- Familiar and comfortable working with technology in the digital space: ability and willingness to learn and adapt to current and changing technologies
- Strong attention to detail; ability to complete, monitor, and adjust (as needed) expense reports and similar financial tracking
- Experience pulling reports from systems; ability to analyze some reports at a basic level
- Must be authorized to work in the United States without visa sponsorship
Preferred Qualifications
- Bachelor’s degree
- Strong proven technology skills in Google suite, Adobe Creative Suite, working in backend of websites (Wordpress preferred), and producing, recording (ie. Zoom, Streamyard, Squadcast or similar), and editing videos, and audio podcasts (ie. Descript and Castmagic or similar)
- Experience with email marketing/broadcast email software
